Job Summary:
The Investigation Clerk provides critical administrative and operational support to the Investigations Unit of the Sheriff's Office. This position involves managing confidential documentation, organizing case files, and facilitating communication between internal departments, external agencies, courts, and the prosecutor’s office. A high level of discretion, attention to detail, and organizational efficiency are essential for success in this role.
Key Responsibilities:
- Maintain, organize, and archive investigation case files in accordance with department policies and confidentiality standards.
- Perform general clerical duties including photocopying, scanning, data entry, filing, and document preparation.
- Utilize specialized software programs and case management systems used by the Sheriff's Office.
- Fulfill case file and documentation requests from the prosecutor’s office in a timely and accurate manner.
- Process information and records requests (redaction as needed) from the public, insurance companies, law enforcement agencies, and other external entities.
- Respond to incoming calls and voicemail messages, ensuring timely follow-up and appropriate routing.
- Manage and respond to departmental emails, supporting communication efforts related to ongoing investigations.
- Provide direct clerical and administrative support to investigators on case-related tasks as needed.
- Maintain and retrieve prior case records, including photographs and digital evidence archived by the Sheriff's Office.
- Perform other related duties as assigned. Duties may be added to or modified at the discretion of the Sheriff or their designee.
Qualifications:
- High school diploma or equivalent required.
- Previous office or administrative experience preferred.
- Ability to handle confidential information with integrity and professionalism.
- Strong organizational and multitasking abilities.
- Effective written and verbal communication skills.
- Demonstrated ability to work independently and collaboratively in a fast-paced environment.
