ESSENTIAL DUTIES AND RESPONSIBILITES include the following. Other duties may be assigned.

The Records Clerk is responsible for the clear, concise, thorough and expeditious management of all records under the control of our agency.

  1. Comprehensive knowledge of Records Division policies, principles, procedures and related local, state and federal rules and regulations.
  2. Any and all other tasks assigned by the Records Supervisor.
  3. Complete all assigned training within the outlined timeframes.
  4. Ability to operate all Records Division required systems and technology.
  5. Sort, file, record and input data or information.
  6. Perform record checks that are requested from outside agencies.
  7. Complete record requests from outside agencies.
  8. Demonstrate proficiency with the Law Enforcement Automated Data System (LEADS).
  9. Review training materials and become LEADS/NCIC certified within one month of hire and recertify every two years.
  10. Proficiently navigate the eWarrant system within the State of Ohio Law Enforcement Virtual Exchange.
  11. Properly enter/manage/maintain all warrants regulated by this agency issued by all courts, i.e. Clark County Municipal Court, Clark County Common Pleas Court, Clark County Juvenile Court, Clark County Probate Court, and Enon Mayor’s Court.
  12. Properly enter/manage/maintain all protective orders regulated by this agency.
  13. Input and monitor service of all Subpoenas, Summons and Grand Jury.
  14. Input and monitor service of foreign orders and requests for service.
  15. Process and monitor issued Writs of Possession.
  16. Ability to run and read required jail reports for the court.
  17. Complete daily court rounds.
  18. Ensure monthly validations are properly completed following LEADS rules and requirements.
  19. Provide record information for traffic citations and take to the court.
  20. Maintain tow cards and perform tow releases.
  21. Provide assistance for Concealed Carry Permit Issuance for all Clark County applicants.
  22. Communicate effectively with all outside agencies and courts.
  23. Ability to effectively communicate and collaborate with Dispatch throughout the day.
  24. Proficient computer skills.
  25. Proficient writing skills.
  26. Interpersonal skills.
  27. Reading comprehension.
  28. Maintain professional behavior and attitude at all times when on duty, including high pressure or stressful situations.
  29. Operate a motor vehicle.
  30. Any other duties assigned by the Operations Manager and/or the Sheriff.
  31. Must exhibit high moral and ethical standards.


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative to the knowledge, skill and/or ability required.


  1. High School Diploma or GED equivalent.
  2. Prior office experience preferred.


Ability to read, analyze, and interpret technical procedures or government regulations. Ability to effectively present information and respond to questions from the general public.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.


  1. Ohio Driver’s License (Valid, not suspended)
  2. Documented and demonstrated academic achievement
  3. Must be competent in the use of computers
  4. Must show proficiency in the standard reporting system
  5. Prior office experience preferred
  6. High School Diploma or GED equivalent
