FLEET / FACILITY COORDINATOR I
Grade: W19 - Non-Exempt
Starting Salary - $42,208 (expected FY '17 salary)
General Duties: This is a full time civilian position assigned to the Administrative Services Bureau responsible for coordinating the procurement, maintenance, and inventory of all Sheriff's Office vehicles. Regular contacts are maintained with county government managers, other law enforcement officials, and coworkers, as well as vehicle and equipment vendors to receive and provide information and make referrals. Also responsible for coordinating and managing facility’s needs with supervisor and County staff. Work is performed with extensive independence, which is often time sensitive, and requires exactness. Tasks require the following skills: complex problem-solving, detailed planning and organizing, account maintenance, and report preparation.
Availability: M - F, 0700 - 1600 with a 1 hour lunch
Eligibility:
- Must be a U.S. Citizen
- Must possess a High School Diploma or G.E.D. certificate
- Must possess a valid driver’s license
- Must be able, to read write, and speak English
- Must meet minimum requirements set forth by the Carroll County Sheriff’s Office
Qualifications and Requirements:
- Prior experience in law enforcement/correctional Fleet/Facility Management operation is preferred
- Position may require extensive periods of standing or sitting
- Position may require the ability to lift 50 pounds, as well as push, pull or move objects
- Position may require extended periods of computer based tasks
Essential Tasks:
- Responsible for all matters pertaining to procuring and equipping Sheriff's Office vehicles
- Confers with Director, Administrative Services Bureau, and makes recommendations regarding procurement, assignment and use of the Sheriff's Office vehicles
- Contacts dealers, researches state and other contracts and prepares quotes for vehicle costs and assists Director, Administrative Services Bureau, with preparation for annual vehicle purchases
- Conducts research into vehicle types, safety features, equipment costs, related to the efficiency and economy of fleet operations
- Assists Director, Administrative Services Bureau and Carroll County Fleet Management with maintaining a vehicle replacement schedule based on age, mileage, function, and/or reoccurring service costs
- Serves as liaison with Carroll County Fleet Management to ensure vehicle service and repairs are complete
- Maintains various reports, including roster of vehicles assigned to the Sheriff's Office, including registration, mileage, assignment, etc.
- Maintains the "Vehicle Key Control System" and ensures keys are available when needed
- Conducts and documents monthly inspections and preventative maintenance of all specialty vehicles which include: personnel rescue vehicle, mobile command center, ATV’s, trailers, and other vehicle as assigned
- Maintains and updates calibration software for all radar units
- Responsible for calibration of radar units and maintaining a current radar list for all deputies assigned a radar unit
- Coordinates the transfer, pick-up and delivery of vehicles from dealers, service shops, etc.
- Promotes personnel and fleet safety
- Confers with Director, Administrative Services Bureau regarding various Sheriff’s Office facilities’ needs
- Acts as liaison with Sheriff’s Office staff and Carroll County Facilities staff when needed regarding maintenance issues throughout various facilities
- Assists Director, Administrative Services Bureau, as needed with facilities planning
- Performs assignments, related work and other duties as required
Knowledge, Skills and Abilities
- Knowledge of law enforcement/correctional emergency vehicles and associated equipment
- Knowledge of law enforcement/correctional standards and audit practices
- Knowledge of Radar and Lidar speed enforcement equipment
- Working knowledge of Microsoft Windows based computer programs to include Word and Excel
- Skilled in organizational and systems management
- Ability to communicate effectively orally and in writing
- Ability to work independently with minimal supervision
- Ability to multi-task, prioritize, and effectively and efficiently organize workload to accommodate multiple deadlines and complete tasks under pressure
- Ability to work within a team environment
- Ability to establish effective working relationships with other staff, governmental agencies and vendors
Career Ladder Requirements
- Fleet/Facility Coordinator I – W19 – Entry position graded as a W19
- Fleet/Facility Coordinator II – W22 - Requires 2 years in Fleet/Facility Coordinator I position and recommendation of supervisor
